Project Administration

Wodonga, VIC
We are seeking a Projects Administrator to join our clients team! 
The projects administrator plays a vital role in supporting both general administrative functions and project-specific requirements.

Key Responsibilities

General Administration
  • Data entry and database maintenance.
  • Answer and manage incoming calls.
  • Provide administrative support to Business Coordinator, Business Manager, and Managing Director.
  • Assist with general office duties as required.
Project Administration
  • Set up new projects in internal systems.
  • Ensure all project contracts are received, reviewed, and processed correctly.
    • Coordinate with Business Manager/Estimator for contract reviews.
    • Extract invoicing and site requirement details from contracts.
  • Manage compliance documentation including:
    • Staff inductions
    • Working With Children Checks
    • Police Checks
  • Liaise with site staff to gather required documentation and information.
  • Monitor and ensure completion of site documentation (e.g., SWMS, safety checklists) by Team Leaders.
  • Update and distribute Job Register to relevant team members.
Quality Assurance (QA)
  • Coordinate and manage QA documentation for all jobs.
  • Complete relevant forms and checklists, including ITPs (Inspection Test Plans) for site works.
4. Project Support
  • Provide administrative support to the Production Manager and Site Manager on ongoing projects.
  • Assist with project planning, documentation, and communication.
5. Communication & Tools
  • Proficient use of Microsoft Outlook, including inbox management and calendar scheduling.
  • Maintain effective communication with five key project contacts and support a working team of seven.
